Contract & Terms of Service for ArtVentures In-School Field Trips

By booking ArtVentures' in-school field trips, you agree to the following terms and conditions:

  1. Booking and Registration

    • Booking Process: Start by filling out ArtVentures' program request form. I'll follow up with a friendly phone call to discuss details and special requirements.

    • Payment: An invoice will be sent upon confirmation, with payment due on or before the program date. I accept cheque (made out to ArtVentures), e-transfer (emma@artventures.ca), or credit card. Please pay by cheque or e-transfer to avoid additional fees.

    • Acceptance of Contract: Once this contract is accepted, your ArtVentures in-school field trip booking is finalized. 

  2. Teacher Responsibilities

    • Please ensure students are organized into 4-6 groups of 5-6 students per group. Desks must be arranged in pods and completely clear of all items, including water bottles and school supplies, before the arrival of your ArtVentures facilitator.

    • Please arrange for students to be away from their desks for the 30 minutes leading up to the program start time.

    • Adult Helpers/Volunteers: Adult helpers/volunteers are essential for facilitating a smooth and engaging experience for your students.

      • Kinders - Gr 2: One helper for each group (4-6 helpers total)

      • Gr 3 - 4: Three or four adult helpers in total

      • Gr 5 - 6: One or two adult helpers in total

    • Failure to provide the required number of adult helpers/volunteers may result in an additional fee.

    • Documenting Your ArtVenture: Video recording of instruction is not permitted; photography is welcome!

  3. Cancellation and Rescheduling

    • Rescheduling: You may cancel or reschedule your booking at no charge with at least two weeks' notice.

    • Fee: Rescheduling with less than two weeks' notice incurs a $50 fee.

    • Short Notice: Rescheduling with less than two days' notice will result in the full program fee being charged.

  4. Liability

    • Insurance: As an approved vendor with Edmonton Public Schools, ArtVentures is fully insured.

    • Responsibility: Participants (teachers, adult helpers, and students) are responsible for adhering to school safety protocols during ArtVentures programs.

  5. Privacy

    • Information Handling: I never share your personal information with third parties.

    • Communication: By booking with ArtVentures, you agree to receive updates related to your booking and my services. You may opt-out at any time.

    • Photography: I reserve the right to photograph and use images of students’ artwork for promotional purposes. I may photograph students for promotional purposes with parent/guardian consent only (see PIPA form).
